Job Summary

We are seeking a detail-oriented Sales Assistant to join our team. The ideal candidate will support both sales and logistics operations, ensuring seamless coordination between suppliers, inventory, and customer needs. They will work closely with the Prepara Sales team and logistics team to optimize processes and maintain smooth supply chain operations.

Key Responsibilities:

Sales & Logistics Support

• Process sales orders, ensuring accuracy and timely entry into or manual entry into NetSuite.
• Manage order fulfillment, coordinating with suppliers and logistics to meet delivery schedules.
• Track inventory levels and update records in NetSuite to prevent shortages or overstock.
• Support logistics coordination, ensuring timely shipments and delivery compliance.
• Assist customers with order inquiries, providing timely updates on order status and delivery schedules.
• Maintain positive relationships with customers by providing excellent post-sales support and professionally addressing concerns.

Data & Administrative Support

• Collect and analyze supply chain data, generating reports to support decision-making.
• Maintain and organize essential documents, including purchase orders, invoices, and contracts.
• Collaborate with production, finance, and sales teams to ensure smooth operations.

Inventory Monitoring & Sales Warehouse & Shipping Operations

• Monitor inventory and coordinate sales warehouse and shipping operations.
• Provide weekly PO ETA updates, perform inventory reviews, and allocate virtual warehouse space.
• Process wholesale orders.
• Establish stock level strategy for "Tier 1" items (e.g., Tier 1 items should maintain x weeks ofsupply).
• Wholesale routing & packaging guidelines: Assist in training warehouse staff to follow retailer guidelines.
• Order warehouse shipping supplies and monitor correct sizing and packaging for wholesale and DTC orders.
• Wholesale order routing & EDI notifications management.
• Coordinate item fulfillment using NetSuite and warehouse operations.

Qualifications

• Prior experience in sales, logistics, or supply chain operations preferred
• Proficiency in Microsoft Office (Excel, Word) and basic data analysis
• Experience with NetSuite and/or ERP systems is a plus

Salary: $52,000 - $65,000

Work Location: In person in office. Work from home 1 day available after training period.
